Every invoice, routed right.
AP Maestro puts supplier invoices from every inbox in one queue and codes each line by your rules. Once approved, each bill goes to the right Xero organisation.
In development with The Yiros Shop. Early access for Xero businesses opens in November 2026.
Suppliers keep sending invoices to the same addresses
Connect the inboxes you already use, so suppliers change nothing. Anything that arrives on paper can be uploaded.
What AP Maestro does between your inboxes and Xero
Inboxes
Every connected mailbox and every upload feeds one queue.Coming: addresses AP Maestro creates for you, and Google Workspace.
Companies
Each invoice is matched to the right company from the inbox, who it's billed to and the supplier's history. Anything unclear goes to a person.
Accounts
Each line is coded by your rules, and the GST is checked line by line.
Approvals
The right people approve, and each approver can be limited to their own companies or suppliers.Coming: routing by amount, such as over $5,000 to the owner.
Xero
The approved bill goes to the right Xero organisation, coded, with the PDF attached. You pay it in Xero as usual.Coming: MYOB and QuickBooks.
History
Every email gets an outcome, and every change is recorded.Coming: statement matching, to find invoices you never received.
Coding by your rules, with a person for anything uncertain
Your rules come first, then your bookkeeper's past decisions. When neither covers a line, AP Maestro suggests an account and a person decides.
A GST mismatch is flagged, and the supplier's figures are never changed.
GST of $38.40 charged on bread, which is GST-free. Flagged for the approver. The supplier's amounts are unchanged.
For groups with several companies on Xero
Every company's invoices sit in one queue, each marked with its company's colour. Each approved bill goes to that company's own Xero organisation.

Questions
What do I need to use AP Maestro?
You need Xero, with admin access to connect each organisation, and the Microsoft 365 mailboxes your invoices arrive in. Google Workspace mailboxes are coming. Bring any coding rules you already have, even a spreadsheet, and choose who approves invoices.
Does AP Maestro pay suppliers?
No. Approved bills go to Xero, and you pay them in Xero as you do today.
Does AI decide how my invoices are coded?
No. AI reads each invoice, and your rules and your bookkeeper's earlier decisions code the lines. When AI suggests a company or an account, a person accepts or changes it.
What happens to an invoice AP Maestro can't read or place?
It goes to a list called "Needs a look" with the reason, and a person sorts it out. Every email AP Maestro receives gets an outcome and a reason, so nothing goes missing without a record.
Can it handle an invoice that spans several accounts?
Yes. Each line is coded on its own, and the bill in Xero can show every line or group the lines by account.
Does it work with other currencies or other accounting software?
Not yet. AP Maestro works with Xero organisations that use Australian dollars, and MYOB and QuickBooks are coming.
How much does it cost?
Pricing depends on how many invoices you receive and how many companies you run. We'll talk it through on the walkthrough.
